The Keeshond Club – Data Protection Statement

As a Breed Club registered with the UK Kennel Club (KC), The Keeshond Club is required to maintain lists of members and approved judges & their addresses; such information to be shared with the Kennel Club as stipulated in the Kennel Club Regulations for the Registration and Maintenance of Titles of Societies and Breed Councils and Affiliation of Agricultural Societies and Municipal Authorities.

Individuals have a right to complain to the Information Commissioner’s Office (ICO) if they think there is a problem with the way the Keeshond Club is handling their data.

The minimum of personal data (name and contact details) will be retained by Keeshond Club for the purposes of its records and for keeping members informed about club news and events. Data are stored in a password protected database accessed by the Secretary.

In processing personal data (paper or electronic), the Keeshond Club will:-

  • Only process information necessary to establish or maintain membership or support;
  • Only process information necessary to provide or administer activities & publications for people who are members of the organisation or have regular contact with it;
  • Only share the information with people and organisations necessary to carry out the organisation’s activities; or if individuals give permission to share their information.

Retention periods for various data are as follows:-

 

Membership lists : 3 years
Judges List : 3 years
Show Entry Forms : 1 year after the show (KC requirement)
Show Catalogues & Schedules : 1 year after the show (KC requirement)
Events booking forms  : 2 years after the event
